2. Correspondence
a. Email from Val McIntyre
i. Annual Report - Each Parent Council is required to produce an Annual Report and circulate this document to ALL Parent Forum Members. Send copy of Annual Report to Val.
ii. Proposed Changes to Constitution - If you propose to make any changes to your Constitution these should be notified to all Parent Forum Members for their consideration in advance of an AGM.
iii. AGM - A date should be set to hold your Annual General Meeting and all Parent Forum members should be invited to attend. Any changes to your Constitution need to be formally approved at the AGM following consultation with your Parent Forum Members.
iv. New Officer Bearers - Please check your Constitution to confirm the term of office of your office bearers and if necessary re-appoint according to your Constitution. I would again be grateful if Clerks could please notify myself with new contact details of any office bearers to enable central records to be updated.
v. Email Accounts - A new corporate email account for each Parent Council will be up and running for the start of the new term. The Clerk will administer this email account and this should eliminate any problems with data protection and enable email addresses to be shared amongst Parent Councils. Notification of your email address will be sent to you at some point over the summer holidays and Clerks will be advised of their individual log in/password details separately.
vi. Parent Council Information Leaflets - If any Parent Council would like additional copies of the leaflets provided in The Welcome Pack please let me know and I shall arrange for them to be sent to you. Annual Report

a. Paragraph 5. Delete distributing parents equally by year group
b. Paragraph 12. Insert if a member of the council fails to attend two consecutive scheduled meetings and also fails to pass apologies to the Clerk or Chair either directly or via another council member they will be deemed to have resigned their council membership.
c. Paragraph 14. Insert Office bearers will be selected or re-selected from MGSPC or affiliated interest group at the first meeting of the new session each year.
d. Paragraph 16. Add …in order that it be approved by MGSPC.
e. Paragraph 22. Insert 22a. The Clerk will circulate an agenda to parent council members at least four days prior to scheduled meetings.
f. Paragraph 28. Add …of MGSPC or affiliated interest group.
